1. Send fewer pages

The single most effective move. Application forms rarely need your entire bank statement — they need the pages showing your address or salary. Extract the required pages and compress just those. Ten pages compress to a fraction of what a hundred do.

2. Split and send in parts

Many portals accept multiple files per submission even when they cap each file's size. Split the document into logical parts — chapter 1, chapter 2 — compress each, and upload them as separate files. Check the portal's rules first; some insist on a single file.

3. Rebuild the worst pages

If one or two pages carry full-page photographs, they dominate the file size. Convert those pages to JPGs, compress the images hard, and rebuild the PDF from the lighter versions. A page that was 8 MB of photograph can become 300 KB with no meaningful loss for a document scan.

4. Change the delivery method

  • Email: above 20-25 MB, send a cloud link (Drive, OneDrive, iCloud) instead of an attachment.
  • Upload forms with a hard cap: contact the organisation — many have an alternative route.
  • Never re-compress an already compressed file; quality drops and size barely moves.

Frequently asked questions

Why won't it get any smaller?
Compression removes redundant image data. Once that is gone, the remaining size is real content — pages. Only removing pages or splitting reduces it further.
Is zipping the PDF worth trying?
No. PDFs are already compressed containers; a zip typically saves 1-3% and some upload forms reject zip files anyway.
