Photograph the receipts properly first

  • Flat surface, even light, no shadow from your own hand — reprints on thermal paper are hard enough to read as it is.
  • Fill the frame with the receipt. Cropping later throws away resolution you already paid for in file size.
  • One receipt per photo. Two in a frame halves the effective resolution of each.
  • Photograph the total and the date clearly; those are the two fields anyone will actually check.

Order matters more than you think

Most expense policies want receipts in the same order as the lines on the claim form. Getting that right on the first submission is the difference between approval and a week of back-and-forth.

Sort by date, and if you have several from one day, keep them in the order they appear on your claim. Arrange the thumbnails before generating the PDF rather than fixing it afterwards.

Size and legibility

Thirty phone photos can easily exceed 100 MB, and many expense systems cap uploads at 10 MB. Compress the finished PDF rather than the individual photos, and stop as soon as the totals are still readable.

Thermal receipts fade, so if a scan is already marginal, compress it lightly or not at all — an unreadable receipt is a rejected claim.
